Integration with vendor and reseller data
RenewalsManager.com Distributor Edition has been designed for those handling multiple relationships with both vendors and resellers. Among the additional reporting tools available via the Aspire VISION reporting module are summaries of renewals by vendor, as well as analysis of best and worst-performing resellers from a sales, cancellations or contract expiry perspective.
Like the Vendor Edition, the Distributor edition communicates with the channel - primarily resellers and systems integrators - providing them with regular prompts to sell timely renewals to customers. Quotes are generated automatically for the reseller from data provided by the distributor (and any vendors sharing the platform).
RenewalsManager.com Distributor Edition is able to manage data from multiple vendors; the more vendor information is included in the system, the more comprehensive management reporting can be.
Distributor Edition process
1. Renewal data entry
To load up the quotes into the system, there are two options available. For high volumes, quotes can be batch loaded, taking a feed from a manufacturer or ISV. Alternatively, renewal data can be entered individually for lower volume requirements.
The system takes the data and produces standardised renewal quotations, under the distributor's brand, ready for publishing.
2. Reseller view
With the quotations produced, the system generates an automated e-mail notification, sent directly to the reseller with an alert that a contract is ready or overdue for renewal with a particular customer.
By following the embedded secure link, the reseller is directed to a personalised renewal portal which lists all known contracts managed by that reseller, including the specific one referred to in the email.
The portal provides an instant view of the contract base, with simple colour coding to highlight the status of each one:
- Red: Contract expired and overdue
- Amber: Contract live, but due for
renewal soon
- Green: Contract live
- Black: Contract cancelled
Other status flags can include warranty only support, contract consolidation etc.
Included, where appropriate, are electronic copies of the contract or certificate of entitlement and a copy of the appropriate renewal quotation when a contract is due for renewal.
The reseller is now able to view a complete list of contracts and is able to engage directly with the end user customer to close the sale. If the reseller is using RenewalsManager.com Reseller Edition, the process of notifying the customer is automated, leaving the reseller sales person free to concentrate on high-margin, low volume opportunities.
The reseller may filter the contract view by vendor or product line.
3. Management reporting
Viewed by many as the greatest challenge relating to managing a renewal base, the system provides detailed, standardised reporting and analysis of the whole renewal business.
This includes a high level “dashboard overview”.
It also includes a detailed breakdown of individual product line renewals.
In addition, Aspire VISION reporting provides details of cancellations, and it is also configured to provide ranking tables for resellers and sales teams.
